Employee KPI system: criteria, ratings and manager reports

When employee evaluation rests on spreadsheets and gut feeling, the results get disputed. We build a performance evaluation system where criteria are clear, ratings are saved and the manager sees a report for each cycle.

How it looks

Staff evaluation in spreadsheets breaks quickly: each department has its own criteria, totals are counted by hand, past cycles get lost. A KPI system (key performance indicators for employees) keeps criteria, ratings and history in one place, calculates totals by the rules and shows the manager the overall picture. There are fewer disputes, because the rules are visible to everyone.

  • For sales teams. Sales manager metrics: calls, deals, conversion, revenue. Some figures are pulled from the CRM automatically.
  • For schools, service companies and large teams. If employees have different roles, criteria are configured for each. We did this for teachers in the International Lyceum Discovery School case.

Employee performance evaluation (KPI) — from €15 000

A system where managers set criteria, run evaluations by cycle, and see reports for each employee and department. We start with an architecture session to lock down the evaluation rules.

At International Lyceum Discovery School we built role-based accounts, a CRM and teacher KPIs: criteria, ratings and reports for management. This scheme suits business too: criteria, cycle, rating, report. See also: school platform.

We show the price and stages in advance. Code, data and accounts are registered to you, and infrastructure costs €0 at the start (Cloudflare, GitHub, Supabase, Resend). Roles, reports and indicators come from ready-made modules of projects we have already built.

Good for: schools, clinics, sales departments and service teams · Companies that want to tie bonuses to measurable criteria · Managers who evaluate staff in spreadsheets

How we work

How we work: the same in every category

The steps switch automatically, or click any of them to read more.

First, at the architecture session, we define the goals of evaluation: bonuses, development, control. Then we agree criteria and weights so they do not conflict with each other, and only then design the screens. The main rule: an indicator must depend on the employee and be easy to measure, otherwise the system becomes a formality.

  • Which staff evaluation methods we support. Goal-based evaluation, competency-based, manager review and 360° review. We combine methods in one system by your rules.
  • OKR or KPI. KPIs measure current performance, while OKRs set ambitious goals for a period. The system can support both approaches if you need them.

Questions

FAQ

How much does KPI system development cost?

From €15,000, starting with an architecture session for €3,500, which is credited to the project. We name the exact price after it.

What is an employee KPI?

It is a measurable indicator used to evaluate work results, for example the number of closed deals, response speed or lesson quality. A good KPI depends on the employee and is clear to them.
